Terms for using Identra Pro

These Terms govern your use of Identra Pro's identity, smart ID card, AI attendance, GPS, mobile workforce, subscription and reporting services.

Important

Use Identra Pro only for lawful, authorized identity and attendance operations.

By creating an account, accessing a workspace or using any feature, you confirm that you have authority to act for the organization and permission to process the people, identity, face, location and attendance data entered into the platform.

Acceptance of these Terms

Agreement to use the platform

These Terms and Conditions form an agreement between you, the organization you represent and Identra Pro. They apply to the website, dashboard, APIs, mobile applications, identity tools, attendance features and related services.

If you do not agree with these Terms, do not create an account, purchase a subscription or continue using the platform.

Account and organization authority

Administrator responsibility

Workspace owners and administrators must provide accurate information and must have authority to create and manage the organization account.

  • Keep login credentials, OTPs and recovery methods secure.
  • Limit administrator access to authorized personnel.
  • Review staff roles, permissions, branch access and inactive accounts.
  • Notify Identra Pro promptly about suspected unauthorized access.
  • Ensure users understand the organization’s attendance and privacy policies.

Acceptable use and prohibited conduct

Lawful platform usage

Identra Pro is intended for legitimate organizational identity, attendance and workforce-management purposes.

You must not:

  • Create, imitate or distribute fake government-issued identity documents, passports, licences, national IDs or similar official credentials.
  • Impersonate another person, organization, school, employer, authority or government body.
  • Use face verification, attendance or location features without appropriate authority, notice or permission.
  • Upload unlawful, stolen, misleading, harmful or unauthorized personal information.
  • Attempt to bypass plan limits, access controls, geofences, face checks, security restrictions or billing controls.
  • Reverse engineer, scrape, overload, disrupt or misuse the platform, APIs, infrastructure or mobile application.
  • Use Identra Pro for harassment, discrimination, unlawful surveillance, fraud or any activity prohibited by law.
  • Share accounts or administrator credentials in a way that creates unauthorized access or circumvents subscription limits.

Serious or repeated violations may result in content removal, feature restriction, suspension or account termination without refund, subject to applicable law.

Identity, employee and student data

Customer-controlled records

Your organization controls the records uploaded or created in its workspace, including names, photos, identifiers, roles, branches, attendance, leave information, QR codes, barcodes and card designs.

You are responsible for ensuring that the collection, upload, correction, use, printing, sharing and retention of such data is lawful and authorized.

Student and minor data: Schools, agencies and institutions must obtain the permissions and approvals required for student records, photographs, identity cards and attendance information.

AI face verification and attendance

Identity and location checks

AI face verification is a supporting security control and should not be treated as infallible. Match decisions may be affected by lighting, camera quality, appearance changes, network conditions or device limitations.

  • Organizations must define a fair process for failed or disputed face matches.
  • Administrators should review exceptional punches instead of relying only on automated output.
  • GPS and geofence results may vary because of device, network or operating-system accuracy.
  • Employees must not spoof location, submit another person’s photo or attempt proxy attendance.
  • Work-from-home eligibility and branch rules are configured and enforced by the customer organization.

Subscriptions, plan limits and payments

Paid access and renewals

Paid services may be offered on monthly, annual or other billing cycles. Prices, taxes, included limits and renewal terms are shown at checkout or in the applicable order or invoice.

  • • Subscriptions may renew automatically until cancelled.
  • • Usage and feature access are subject to the selected plan.
  • • Exceeding limits may require an upgrade, add-on or reduced usage.
  • • Failed payments may result in restricted or suspended access.
  • • Refund eligibility is governed by the published Refund Policy.

Customer content and intellectual property

Ownership and platform licence

You retain ownership of organization logos, photos, card content, imported records and other materials that you lawfully upload.

You grant Identra Pro a limited licence to host, process, reproduce, transmit, render and display that content only as necessary to provide, secure, maintain and support the service.

Identra Pro and its licensors retain rights in the software, source code, user interfaces, templates, workflows, documentation, branding and platform technology, excluding customer-owned content.

Third-party services and integrations

External providers

Identra Pro may rely on third-party providers for hosting, payments, maps, notifications, email, analytics, storage, mobile distribution or other supporting services.

Third-party services may have separate terms, policies, availability and technical limitations. Identra Pro is not responsible for third-party outages, policy changes or failures beyond its reasonable control.

Service availability and changes

Maintenance and product updates

We aim to provide reliable service but do not guarantee uninterrupted, error-free or permanently available access. Maintenance, security updates, infrastructure failures, third-party outages or force-majeure events may affect availability.

Features, interfaces, plan limits and technical requirements may change as the platform develops. Material changes will be communicated where reasonably appropriate.

Suspension and termination

Protecting the platform and users

We may restrict, suspend or terminate access where reasonably necessary to investigate fraud, security threats, unlawful activity, payment failure, platform abuse or serious Terms violations.

Customers may cancel their subscriptions and may request account closure subject to outstanding payment, retention and legal obligations.

Administrators should export permitted records before access ends. Data availability after termination is subject to the active plan, retention process and Privacy Policy.

Disclaimers and limitation of liability

Reasonable service limitations

Identra Pro is provided on an “as available” basis to the extent permitted by law. The platform does not replace the customer’s legal, HR, payroll, security, identity-verification or compliance responsibilities.

To the extent permitted by applicable law, Identra Pro will not be liable for indirect, incidental, special, punitive or consequential losses, including lost profits, business interruption, data loss or decisions made solely from automated attendance results.

Any aggregate liability will be limited to the amount paid by the customer for the affected service during the relevant period, except where such limitation is not permitted by law.

Privacy and data protection

Related policy

The Privacy Policy explains how Identra Pro handles account, service, support and platform data. Customer organizations remain responsible for their own notices, permissions, legal basis, employee policies and data-management practices.

Changes to these Terms

Future updates

These Terms may be updated to reflect product, legal, security or operational changes. The updated version will be published with a revised effective date.

Continued use after the effective date of updated Terms constitutes acceptance, subject to applicable law.

Governing law and disputes

Legal framework

These Terms are governed by the laws applicable to the legal entity operating Identra Pro, without limiting any mandatory rights available under applicable consumer or data-protection law.

Before beginning formal proceedings, the parties should attempt in good faith to resolve the issue through written support communication.
